BizOS in your AI assistant

Use BizOS inside ChatGPT or Claude

Your business already lives in BizOS: leads, quotes, jobs, bills, dues, stock. Connect it to Claude or ChatGPT and ask in plain words — in the chat you already have open — what needs attention today, who owes what, and add a lead from a message without leaving the conversation. It answers as you, with your permissions, and links every answer back to the record in BizOS.

What you can ask

BizOS offers these to the assistant as ready-made prompts, where the app shows them; typing the sentence works just as well, and so does anything else in the same spirit. Each is offered only when your role has what it needs.

“What needs my attention today?”

Overdue bills, jobs due today, follow-ups waiting, customers gone quiet — your three morning questions in one answer.

“Who owes us money, oldest first? Draft a polite reminder for each.”

Dues by customer and age. The drafts stay in the chat; sending to a customer happens in BizOS, with your tap.

“Turn this message into a lead: "Hi, need 3 split ACs installed in Saibaba Colony next week — Ravi"”

A new lead on your default pipeline with the requirement noted, exactly as if you typed it in BizOS.

Adds a record: needs a paid plan with the CRM & Leads module and a read & write connection.

“Make a quote for Ravi Kumar from my notes: "2 ceiling fans, 1 MCB 32A, wiring for 3 points"”

A draft quotation with catalog items at your prices and GST, ready for you to check and send from BizOS.

Adds a record: needs a paid plan and a read & write connection.

“Give me September for my CA: what came in, what is still due and the expenses.”

Payments received, what is still due and the expenses by category for the month. Money only if your role sees money.

  4. 4Pick the business and branchChoose which business (and, if you have branches, which branch or all of them) this connection may see, whether it is read-only or may also add records, and — where your business allows it — whether it may ask to send quotes and bills to customers (you approve each one in BizOS).
  5. 5AskBack in Claude, turn the BizOS connector on in a chat and ask "What needs my attention today?".

Set up in ChatGPT

From the ChatGPT app directory once the listing is approved; until then, through developer mode where your plan offers it.

  4. 4Pick the business and branchChoose the business, the branch view and read-only or read-and-write. One business per connection; connect again for another.
  5. 5AskMention BizOS in a chat, or just ask "Who owes us money?".

What a connection can do today

Reads across the business, the intake work an owner does from a chat (leads, customers, follow-ups and expenses), draft quotes and bills, job updates, money already received, and sends that you approve. Each connection gets only the tools its member’s role, its chosen access and the business’s modules allow (jobs need the Jobs & Field Service module, a new lead the CRM & Leads module). On the free plan a connection reads only, up to 300 calls a month; adding and updating comes with a paid plan. Nothing is ever sent to a customer from a chat: a send the AI asks for waits until you approve it in BizOS.

Quotes and invoices are made as drafts; issuing a bill happens in BizOS, and an issued invoice’s amounts change only while nothing is paid on it. The AI never moves money and never messages a customer on its own (a job moved from a chat sends no customer update); automations your business set up in BizOS still run, as they would for the same change made in the app.

Send to customers — you approve each one

  • Send a quotation to the customer
  • Send an invoice to the customer
  • Send a payment reminder

An AI app can ask to send a quote, an invoice or a payment reminder to a customer on WhatsApp — you approve each one in BizOS. Nothing is sent from the chat itself, and the AI cannot approve it.

How it stays safe

  • No phone numbers, no emailsBizOS leaves contact details out of what it sends a connected app, and blanks a phone number or email typed into a note. The AI can name a customer; it cannot call or message one.
  • Your role appliesThe connection is you. It sees what you see in BizOS and nothing more: money only if your role sees money, a field technician only their own jobs.
  • One business, one branch viewYou pick the business and branch when you connect. The AI cannot switch to another; connect again for a second business.
  • Every change is loggedEach record the connection adds or changes shows in the activity log as you, "via ChatGPT" or "via Claude", and BizOS keeps what the app asked for with the result. Reads are counted, not logged one by one.
  • Owners decide who may connectOff by default for staff. Owners and admins open it per business in Settings → Connections & AI → Apps with access.
  • Revoke any timeSettings → You → Connected apps → Disconnect. It stops within seconds; deactivating a member disconnects theirs.

Questions

Which plan do I need?
Every BizOS plan includes it, with nothing extra to buy. On the free plan a connection can read — what needs attention, dues, bills, leads, stock — up to 300 calls a month. Jobs come with the Jobs & Field Service module. Adding and updating records (customers, follow-ups, expenses, notes on leads, draft quotes and invoices, payments you already received) comes with a paid plan, which also allows far more calls; adding a new lead also needs the CRM & Leads module. Quotes and invoices are made as drafts; sending one to a customer (and issuing a draft bill with it) waits until you approve it in BizOS. The connection never messages a customer by itself (a send waits for you to approve it in BizOS, and a job moved from a chat sends no customer update), but automations your business set up in BizOS still run, as they would for the same change made in the app.
Does the AI see my customers’ phone numbers?
No. BizOS leaves phone numbers and email addresses out of everything it sends a connected app, and blanks one even when someone typed it into a note. A customer is named, never dialled; a send it asks for shows only the last four digits of the number. The AI can ask BizOS to send a quote, an invoice or a payment reminder, but nothing goes until you approve it in BizOS.
Can my staff connect it?
Only if the owner or an admin allows it in Settings → Connections & AI → Apps with access. Each person connects as themselves and gets exactly what their role already gets in BizOS — a field technician sees only the jobs they work on, money reaches only roles that see money, and nobody sees more.
Where does my data go?
To the assistant you chose, Anthropic (Claude) or OpenAI (ChatGPT), only for the records you ask about, under that company’s own terms — which may mean processing outside India. BizOS counts a connection’s calls and, for every record it adds or changes, keeps an activity-log entry and the request the app sent with its result, as part of your business’s records. It stores no copy of your conversation and keeps nothing from a read but the count.
I use Tally. Does this change anything?
No. BizOS stays the daily operations layer and Tally is kept in step as before. Ask the assistant about dues, jobs and leads; your CA keeps working in Tally.
How do I disconnect?
In BizOS: Settings → You → Connected apps → Disconnect, on the web or in the BizOS phone app. It stops working within seconds. Owners and admins can disconnect anyone’s connection, or turn connected apps off for the whole business.
Does it work on my phone?
Set the connection up on the web. Claude and ChatGPT keep connectors on your account, so their phone apps can use it where the app supports connectors. In the BizOS phone app you approve or reject the sends an AI app asks for (the push opens the request) and see or disconnect your connections.

This page is the guide to the AI connection. For BizOS itself — quotes, jobs, bills, stock — see the BizOS guides.
