Key facts
- BizOS sends WhatsApp payment reminders on day offsets around the due date: 3 days before, on the due date, and 3 and 7 days after by default, editable under Settings → Customer messages → Automatic messages.
- BizOS sends at most one reminder per invoice per day, in a daily run at about 07:15 IST, and never to a customer who has opted out of WhatsApp.
- Each BizOS reminder carries a way to pay: the invoice's payment link, or the invoice's share page with your UPI QR.
- A customer who replies STOP gets no more WhatsApp messages from BizOS, including reminders; START turns everyday updates such as invoices back on, but not offers.
- A BizOS automation can escalate an overdue bill with Wait and Stop if steps; Stop if re-reads the live invoice, so a customer who has paid is not chased again.
- The BizOS cash drawer shows each staff member's cash as the cash payments they recorded minus the handovers they made. See Payments & cash drawer.
Chase payments on a fixed, predictable schedule tied to the due date, keep every message short and friendly, put a way to pay inside the message, and stop the moment the customer pays. Customers are rarely annoyed by a reminder; they are annoyed by a wrong one, a late-night one, or a third one for a bill they already paid.
When should I send a payment reminder?
Tie reminders to the due date, not to your mood on a slow month. A schedule most customers find reasonable:
| When | Tone | Purpose |
|---|---|---|
| 3 days before due | Friendly heads-up | Lets them plan the payment |
| On the due date | Plain reminder | The bill is due today |
| 3 days after | Polite nudge | Most late payers simply forgot |
| 7 days after | Firmer, still polite | Last automated message |
| After that | A phone call from a person | Find out what is wrong |
This is also the BizOS default: −3, 0, +3 and +7 days around the due date, which you can change. Reminders go out once a day at about 07:15 IST, and never more than one per invoice per day, whatever the schedule says.
Set the due date when you bill. A plumber in Coimbatore billing a housing society on 30-day terms and an electrical shop selling to a walk-in contractor on 7-day terms need different due dates; the reminders follow each bill's own.
What should a polite payment reminder say?
Four things, and nothing else: who you are, which bill, how much is still due, and how to pay. No guilt, no capital letters, no "final notice" on day three.
Before the due date:
Hi Ramesh, a quick reminder that invoice INV-0142 for ₹12,500 from Sri Lakshmi Electricals is due on 21 Oct. You can pay by UPI from the link. Thank you!
On the due date:
Hi Ramesh, invoice INV-0142 for ₹12,500 is due today. Pay by UPI from the link whenever convenient. Thanks for your business.
A week overdue:
Hi Ramesh, invoice INV-0142 has ₹12,500 pending since 21 Oct. If it is already paid, please ignore this; otherwise you can pay from the link. Please let us know if anything on the bill needs checking.
A short line in the customer's own language often lands better:
- Hindi: नमस्ते रमेश जी, बिल INV-0142 का ₹12,500 बाकी है। लिंक से UPI द्वारा भुगतान कर सकते हैं। धन्यवाद!
- Tamil: வணக்கம் ரமேஷ் சார், பில் INV-0142-க்கு ₹12,500 நிலுவையில் உள்ளது. இந்த லிங்க் மூலம் UPI-ல் செலுத்தலாம். நன்றி!
Two WhatsApp rules shape this. A business can send free text only within 24 hours of the customer's last message; anything else must be a template approved by Meta. And Meta rejects a template that starts or ends with a blank, or has too many blanks for its length, so keep real words around {{1}}, {{2}} and {{3}}. Each language is its own template, approved separately. See WhatsApp templates. The wording above works as it is when you type it yourself in the WhatsApp Business app, or as the starting point for your own templates.
How do I automate payment reminders in BizOS?
There are two layers, and most businesses only need the first.
1. Built-in reminders. Switch on payment reminders under Settings → Customer messages → Automatic messages and set the schedule. From then on every issued, unpaid invoice is chased on WhatsApp with no one pressing anything. Each reminder carries a way to pay: the invoice's live payment link if you use your own Razorpay account, otherwise the invoice's share page, which shows your UPI QR. Automatic reminders and payment links come with the Billing base (₹2,999 a year before 18% GST; see Plans & billing).
2. An escalation automation, for when you want more than reminders. In Grow → Automations you can build:
- Trigger Invoice Overdue, with the condition Days overdue equals 3, so it starts once rather than every day.
- Send WhatsApp with a gentle approved template carrying the invoice number, the balance and the pay link.
- Wait 4 days. A wait that would end between 9 pm and 9 am IST resumes at 9 am.
- Stop if Invoice status equals Paid.
- Send WhatsApp with a second, firmer template, so it doesn't read like the first.
- Create follow-up assigned to the owner, so a person makes the next call.
Leave out that condition and Invoice Overdue fires every day for every unpaid bill, so a WhatsApp action on it would message the customer daily. The run log shows every step, and Test run lets you check it with sample data first. See Workflows & automation.
The people side matters too. Overdue invoices appear on the dashboard under "Needs you today" with a Remind button, and a follow-up such as "call Senthil Builders about the balance" sits in the Follow-ups worklist until someone marks it done or snoozes it.
How do I make sure reminders stop when the customer pays?
This is the one thing that makes customers angry, so close every gap:
- Record payments the day they arrive. Cash, UPI, bank transfer or cheque, recorded against the bill. The balance and status update at once, and the payment gets a numbered receipt.
- Let online payments mark themselves. With your own Razorpay account connected, a payment from the link is recorded, receipted and applied to the bill automatically.
- Pause one bill when a customer promises a date. Each invoice has its own reminders switch, so the customer who said "the 15th" isn't chased on the 10th.
- Use Stop if in automations. It re-reads the live invoice before the next message, so a customer who paid yesterday gets nothing more.
What about part payments and advances?
A part payment moves the invoice to Partial with the remaining balance visible, and each instalment gets its own receipt. The bill is still unpaid, so it stays on the schedule until it is settled; pause it if you have agreed the rest for a later date.
Money paid before the bill (an advance for an AC installation, say) is recorded as Advance · on account, with its own receipt, and held as the customer's credit. When you bill them, BizOS shows "advance available" and applies it in one tap. It never guesses which bill an advance was meant for, because guessing causes disputes. If a customer pays more than a bill owes, the bill is settled and the extra is held as credit. See Receipts, advances & credit.
Applying an advance is part of keeping reminders honest: a bill already covered by money you hold should not be chased.
Who is holding the cash my technicians collected?
Chasing customers is half the job; the other half is the ₹4,000 a technician collected on site that hasn't reached the shop. The BizOS cash drawer shows, for each person, the cash payments they recorded minus the handovers they made. A handover names who received the money and cannot be edited later. Check it before you chase a customer who says "I paid your boy last Tuesday".
How do I avoid annoying customers?
- One message a day at most per bill, sent in the morning. BizOS enforces both for built-in reminders.
- Respect STOP. A customer who replies STOP gets no more WhatsApp from your business, reminders included; no automation, campaign or teammate can send past it. START brings back everyday updates such as bills, not offers.
- Keep offers and dues apart. Someone who opted out of promotions still gets their bills.
- Hand over to a person after the last automated reminder. A call settles what a fifth message won't.
For sending the bill itself in a way that gets paid sooner, see how to send a GST invoice on WhatsApp.
Is BizOS the right tool for chasing payments?
It fits if you sell on credit or bill with a due date (distributors, contractors, AC and RO service, electricians, shops with regular trade customers) and your customers are on WhatsApp.
It is not the right fit, or not on its own, if:
- You want reminders in your own words. That needs your own WhatsApp Business number connected, which comes with the WhatsApp Business module (₹5,999 a year before 18% GST); BizOS's pre-built templates have fixed wording.
- You need legal recovery or a collections agency. BizOS sends reminders and tracks dues; it does not issue legal notices.
- You want advances applied automatically, oldest bill first. BizOS leaves that choice to you, except for advances taken against a sales order.
- You need GST worked out on advances for services. BizOS does not compute it; ask your CA.
If that fits, start free and switch on payment reminders for your next bill.
Frequently asked questions
How many payment reminders should I send?
Three or four per bill is usually enough: one a few days before the due date, one on the day, and one or two after it, then a phone call. BizOS uses 3 days before, on the due date, and 3 and 7 days after by default, and never more than one per invoice per day.
What time do BizOS payment reminders go out?
BizOS payment reminders go out once a day in a morning run at about 7:15 am IST. Automations with a Wait step that would end between 9 pm and 9 am IST resume at 9 am by default.
Do payment reminders stop when the customer pays?
Yes. BizOS payment reminders stop when the invoice is paid, and an online payment through your own Razorpay account marks the invoice paid automatically. In a custom automation, a Stop if step checks the live invoice before each further message.
Can I pause reminders for one customer who promised to pay later?
Yes. Each BizOS invoice has its own reminders switch, so you can pause chasing one bill without changing the schedule for everyone else.
Can I write my own reminder wording?
BizOS pre-built WhatsApp templates have fixed wording, though you choose which field fills each blank. Your own wording needs your own WhatsApp Business number connected, and every template is approved by Meta before it can be sent.
Do I need a payment gateway for WhatsApp payment reminders?
No. BizOS reminders run without a gateway and carry the invoice's share page with your UPI QR. Connecting your own Razorpay account adds a Pay now button and automatic marking of online payments.
What happens to reminders when a customer pays only part of the bill?
The BizOS invoice moves to Partial, the balance stays visible, and the payment gets its own numbered receipt. The bill is still unpaid, so it stays on the reminder schedule until it is settled or you pause it.
