## Key facts

- **BizOS captures leads automatically** from IndiaMART, Justdial, Facebook and Instagram lead ads, and a website webhook, onto the pipeline and stage you choose.
- **A repeat enquiry from the same phone on the same BizOS pipeline becomes a note on the open lead**, not a second card, within a merge window of 30 days by default.
- **Justdial switches its push on from its side:** you connect in BizOS, then send the message BizOS gives you to your Justdial account manager. BizOS alerts the Owner and Admins if no Justdial lead arrives for 7 days.
- **Facebook and Instagram form leads arrive in BizOS as soon as they are submitted**, showing the ad and campaign, and a nightly catch-up re-reads the last 48 hours.
- **BizOS lead automations run on lead created, stage changed, won, lost or idle for N days**, and can assign, notify, send a WhatsApp template, wait or move the lead.
- **The BizOS CRM & Leads module is ₹3,999 a year before 18% GST** and needs the Billing base (₹2,999 a year before 18% GST); it is also part of the Service Pro and Complete bundles.
- See [Leads & pipelines](https://bizos-docs.3roses.in/docs/leads) for the full guide.

Most enquiries from IndiaMART, Justdial and Facebook ads are not lost to a cheaper competitor. They are lost because nobody replied quickly, nobody owned the lead, and nobody wrote down when to call back. The fix is a simple process: every enquiry lands in one place, gets an owner straight away, gets a reply within minutes, and always has a next date until it is won or lost.

## Why do paid enquiries go cold?

You pay for every one of these leads, through an IndiaMART package, a Justdial listing or an ad budget. The same three gaps come up again and again:

- **The first reply is slow.** The buyer who sent an enquiry about 200 metres of 4 sq mm wire sent the same enquiry to several sellers. The one who calls back first usually gets the conversation.
- **Nobody owns the lead.** The enquiry sits in the owner's IndiaMART app, in a Justdial SMS, or in the Facebook page inbox. Everyone assumes someone else called.
- **There is no follow-up date.** "Send me a quote, I'll decide next week" is a real lead. Without a date written somewhere, next week never comes.

A fourth gap makes it worse: enquiries are spread over three apps and two phones, so nobody can count how many came in this week.

## What does a simple lead process look like?

Six steps, the same for every source:

| Step | What happens | Who does it |
|---|---|---|
| 1. Capture | Every enquiry lands on one board, whatever the source | Automatic |
| 2. Assign | Each lead gets one owner the moment it arrives | A default, or a rule |
| 3. Reply | A call or WhatsApp within minutes, not hours | The owner of the lead |
| 4. Quote | A priced quotation, sent as a link the buyer can accept | The owner of the lead |
| 5. Follow up | A dated next step, every time, until the lead closes | The owner, nudged by a rule |
| 6. Close | Won (becomes a customer) or Lost (with a reason) | The owner of the lead |

The rule that holds it together is simple: **an open lead always has an owner and a next date.** Everything below is about making that rule hard to break.

## How does BizOS bring in leads from IndiaMART, Justdial and Facebook?

Connect each source under **Settings → Connections & AI → Lead sources** (Owner and Admin). Each connection sets which pipeline and stage its leads land on, the source name, an optional fixed assignee, and how many days to merge the same phone number (30 by default).

| Source | How leads arrive | What comes with them |
|---|---|---|
| IndiaMART | Through IndiaMART's push from your seller account | Buyer's name, number and requirement |
| Justdial | Through Justdial's push, which Justdial switches on after you send them the message BizOS gives you | Name, mobile, city, and the category searched (saved as an interest) |
| Facebook and Instagram lead ads | Continue with Facebook, pick your Pages, press Receive leads | The form answers, plus the ad and campaign; a nightly catch-up re-reads the last 48 hours |
| Website | An inbound URL for your contact form or landing page | Whatever your form sends, through a field map |

A few details matter in practice. Every inbound hit is logged as received, created, duplicate or failed, and failed ones are retried automatically. A repeat enquiry from the same phone on the same pipeline becomes a note on the open lead, so a buyer who enquires twice is not called twice by two people. A Justdial connection shows **Awaiting first lead**, **Receiving** or **Silent N days**, and BizOS alerts the Owner and Admins if no Justdial lead arrives for 7 days. Justdial publishes no developer documentation, so check the first few leads against your Justdial app after it goes live.

Phone calls, walk-ins and WhatsApp enquiries are added by hand from **New lead**, so every enquiry is on the same board. An existing enquiry sheet can be [imported from Excel](https://bizos-docs.3roses.in/docs/data-import) onto the stage each lead has really reached.

## How do I make sure every lead gets a fast reply?

Two things: an owner the moment the lead arrives, and a notice on that person's phone.

- **Assign at the door.** A lead connection can name a fixed assignee, and each pipeline can have a default assignee for leads that arrive with none. For a business with two salespeople, an automation on **lead created** can assign by condition instead, for example Justdial leads to Priya and IndiaMART leads to Arjun.
- **Notify the owner.** The same automation can **notify in app**, which also pushes to the person's phone and browser.
- **Acknowledge the buyer.** An automation can send the lead an approved WhatsApp template, such as "Thanks for your enquiry, our team will call you shortly." WhatsApp messages to customers must use approved templates; that is Meta's rule.

An instant trigger acts when the lead arrives, even at 11 pm. If you would rather not message buyers at night, put a short **Wait** before the WhatsApp step: by default a wait that would end between 9 pm and 9 am IST resumes at 9 am. See [Automations](https://bizos-docs.3roses.in/docs/workflows).

## How do I stop leads going quiet after the first call?

This is where most of the money is. Three habits, each backed by something in BizOS:

1. **Quote from the lead.** Record what the buyer asked about as **interests** (a catalogue item or free text). **New quote** on the lead pre-fills the quotation from those interests, and the quote stays linked to the lead. The buyer accepts or declines from a link with no login, and BizOS shows when the link was first and last opened, and how many times. Three views and no reply is a different phone call from zero views. See [Quotations](https://bizos-docs.3roses.in/docs/quotations).
2. **Always set a next date.** Schedule a [follow-up](https://bizos-docs.3roses.in/docs/follow-ups) from the lead page. Due follow-ups sit at the top of the worklist, with one-tap WhatsApp and call, and can be snoozed to tomorrow, +3 days or +1 week.
3. **Switch on an idle rule.** An automation on **lead idle** can notify the assignee when an open lead has had no activity for, say, 5 days. Every note, call and stage move resets the clock, so it only fires for leads that really went quiet. It is the single most useful lead automation.

For the owner, the **Sales team** view shows who holds which leads at which stage, with an Unassigned row, how many are idle, and each person's results against a monthly target. See [Sales team & targets](https://bizos-docs.3roses.in/docs/sales-team).

## How do I know which source is worth the money?

When every lead carries its source, the comparison stops being a guess:

- **Sources are your own list.** IndiaMART, Justdial, Instagram, walk-in, referral, hoarding: whatever brings you work. Each lead connection stamps its source name on every lead it creates.
- **Reports.** The leads guide points to the **Follow-up Conversion** report (follow-up to quotation to invoice) for which sources are worth the money. **Lead Funnel by Pipeline** gives win rate and average days to close per board, and **Lead Interest Conversion** shows which asked-about items turned into invoiced sales.
- **Facebook ads.** A lead from a Facebook or Instagram form shows the ad and campaign it came from. Once connected, BizOS can also report the leads that reach a stage you choose, such as Won, back to Facebook through the Conversions API, so the ads can find more people like your real buyers.

A distributor paying for IndiaMART and a Facebook budget can then compare the two by business won, not by enquiries sent.

## Is BizOS the right tool for my leads?

**It fits if** you get enquiries from IndiaMART, Justdial, Facebook or Instagram ads or your website; more than one person handles them; and you want the lead, the quote, the job and the bill in one app, with WhatsApp follow-ups. Leads need the **CRM & Leads** module, ₹3,999 a year before 18% GST, on top of the Billing base at ₹2,999 a year before 18% GST. It is also in the Service Pro and Complete bundles, and every new business starts with a 30-day trial with everything unlocked. See [Plans & billing](https://bizos-docs.3roses.in/docs/plans-and-billing).

**It is not a fit if** you only need a dialler or a call centre tool; your enquiries come from a source BizOS does not connect to and you cannot send them through a website form or webhook; or your business is outside India. If you get a handful of enquiries a month and handle them all yourself, a notebook with dates may be enough.

If your enquiries already live in a notebook or Excel, the [one-week switch-over plan](https://bizos.3roses.in/blog/from-notebook-excel-to-business-app) shows how to move them in with your customers and stock.

## Frequently asked questions

### Can I get IndiaMART enquiries into BizOS automatically?

Yes. Connect IndiaMART under Settings, Connections & AI, Lead sources. Buy-lead enquiries from your IndiaMART seller account then arrive through IndiaMART's push, with the buyer's name, number and requirement, on the pipeline and stage you choose.

### How do Justdial leads reach BizOS?

Connect Justdial in BizOS under Lead sources, then press Copy message for Justdial and send it to your Justdial account manager, because Justdial switches the push on from their side. Each enquiry arrives with the name, mobile, city and the category searched. Justdial publishes no developer documentation, so check the first few leads against your Justdial app.

### What if the same buyer enquires twice?

A repeat enquiry from the same phone on the same pipeline, inside the merge window (30 days by default), becomes a note on the open lead instead of a second card. You can change the number of days on each connection.

### Can BizOS tell me which source brings real business?

Every lead carries its source, and the leads guide points to the Follow-up Conversion report for which sources are worth the money. The Lead Funnel by Pipeline report shows win rate and average days to close, and Facebook leads show the ad and campaign they came from.

### Will BizOS message a new lead at night?

An automation on lead created acts when the lead arrives, even late in the evening. If that matters, put a short Wait step before the message: a wait that would end between 9 pm and 9 am IST resumes at 9 am by default.

### Can I see which salesperson is sitting on which leads?

Yes. The Sales team view shows each lead owner's open leads per stage, with an Unassigned row, and their results against a monthly target. It is for the Owner, Admin and Manager; office staff see their own results.
